This article is designed to help you collectively manage each of your budgets at once, instead of individually.
Log In to your account > Click Admin > Budgets >
Export CSV > Make needed adjustments > Import CSV
Step by Step Instructions
First, you'll need to Log In as an Admin.
Next, click on the Budgets tab.
In the Budgets tab, you'll see an overview of all of the budgets in your organization. You have the option to Export or Upload a .csv file to manage each of your budgets at one time, instead of individually. These steps will need to be followed exactly for this to work.
Click on Export CSV to download the current status of each budget to a .csv file.
Your file will be sent to your Downloads folder with the filename "budgets.csv." It's a good practice to immediately rename the file with the date. This will make sure you can easily find the file if you download more than one, and can also serve as a record of where your budgets are at each week, month, quarter, etc.
With the file open, you can now adjust your budgets to what you would like them to be for the next period of time. But before you adjust the Amount field, you need to format the cells in that field to a Text field instead of a Numeric field.
First, highlight the row.
Next, click Format, and then Cells.
In the Number tab, click Text in the Category column. The screen should read: Text format cells are treated as text even when a number is in the cell. The cell is displayed exactly as entered.
Now you can make changes to the Amount fields that can be uploaded and automatically applied to your Awardco platform budgets. There are two options for budget control:
1. Add/subtract a certain amount to/from a budget.
2. Set/reset a budget to a certain amount.
To Add/Subtract an amount from the current amount in each budget, click the cell int the Amount column in the row of the desired budget. Then type in "+" or "-" and the desired amount: e.g. "+500" to add $500 to the budget.
Te Set/Reset a budget to a desired amount, click the cell int the Amount column in the row of the desired budget. Then type in "=" and the desired amount: e.g. "=500" to set the budget to $500, regardless of what amount is currently in the budget.
Once you have your budgets adjusted in your .csv file, save the file. You can now import this file into your Awardco platform, and it will update all of your budgets at once. To do this, return to your Budgets tab, and click Upload CSV. Select your file, and click OK to upload.
Your new budget values will be applied to the system immediately.
Note: This is an all-or-nothing upload. As a safety measure, if there's an error in the data that our system can't read, nothing will be uploaded. This way we can make sure that actual funds aren't deposited or deducted from various budgets before an error is found and accounted for.
